BRISTOL LIGHT FESTIVAL – QUEEN SQUARE SET UP GUIDE

SITE PLAN

TRADERS ARE REQUIRED TO: 

  1. Bring their own commercial standard marquee (usually, 3mx3m), and own at least 104kgs of metal weights;
  2. Protect the full area beneath their pitch (usually 3x3m) with an impermeable sheet.  Any stains caused by grease or spills (or other damage caused by traders) will have to be professionally cleaned/restored, and the costs passed on to the trader involved;
  3. Take any non-customer waste (packaging, cardboard, food waste) off-site at the end of the day; and
  4. Only use fully compostable food packaging, utensils, drinks containers etc. (e.g., Vegware).

TRADING HOURS AND SET-UP TIMES

JANUARY 31ST – FEB 9TH

The festival hub is open to the public from 5pm – 10pm.

Set-up is from 3pm, and traders must be ready to start at 5pm, and should not close early except in unusual circumstances, and with the consent of the Market Management. The Swing Song installation will be open for private and press showings from 4.30pm, so if you’re able to set up for 4.30pm, it’s likely there’ll most likely be sales to be made.

GENERAL 

Please make sure you arrive with enough time to be fully set-up in time for when the market opens.

Traders arriving late may not be allowed to set-up and trade at all.

PACKDOWN

Please take extra care when packing down at night and make sure to keep an eye on valuables at all times. If you’re leaving your stall set up overnight, please make sure to remove any valuable from entirely (or from sight) and secure your set up. If you’re in a trailer, please close and lock hatches/doors and if you trade from a gazebo, please put all 4 walls up and make sure you have sufficient weights to leave it unattended.

Stalls being left in situ overnight will be protected by heras fencing and overseen by site security. Please note, equipment is ultimately left at your own risk.

HOW TO FIND QUEEN SQUARE

PARKING AND LOADING

Please unload from the nearby bays on Queen Square.  Driving into Queen Square is strictly prohibited. If you’re trading from an adapted vehicle you will need to be escorted to your pitch by the market manager.

Please use your hazard lights and stick to 5mph whilst unloading.

Traders should unload their vehicle and park, before setting up their stall – to avoid parking in the loading area too long.

Nearby parking is available at The Grove, Portwall Lane or their are metered bays around Queen Square.

There is no parking available on-site.

ADAPTED TRAILER ACCESS

If you’re trading from an adapted vehicle, you will need to be escorted into position by a market manager following the pink route on the map above. Driving or moving trailers on the grass is strictly forbidden unless matting is in place to protect the grass. A market manager will build a route for your adapted vehicle and help you maneuver into place.

POWER

ELECTRICITY: Power is limited to 1 x 16amp supply per stall, so please bring a 16A plug and cable to reach your pitch.  Supply is strictly limited to 3kW per stall, so check the wattage of each of your appliances and make sure you don’t exceed this.

Drawing too much power causes the whole supply to fail, and in extreme cases, can cause an electrical fire.

You are responsible for ensuring all appliances, extensions and hook-ups have an in date PAT-test certificate.

GAS: Gas appliances must be transported, stored, and used in compliance with GAS SAFE recommendations.  Hoses must be in-date, safety certification up-to-date, and canisters safely secured out of reach from the public.

FOOD HYGIENE

All traders must bring evidence of up-to-date public liability insurance every time they trade. Food traders must also bring a valid food hygiene certificate.

EMERGENCY PROCEDURE

If you see anyone acting in a suspicious manner at or around the festival hub, please call 999 immediately and without hesitation. Avon and Somerset Police also have an Anti-Terrorist Hotline which you can reach at 0800 789 321, while anti-social behaviour can be reported to 101.

Market Managers are not cleared to engage with anyone participating in dangerous, suspicious, or anti-social behaviour, and it is best to contact the police right away.
